Job Description
We are looking for a skilled, detail-oriented, and proactive Project Administrator to join our team at the Murarrie office. In this role, you will work closely with our team leads across various business units to support and coordinate their daily project needs.
Roles & Responsibilities:
Assisting Project Managers with quoting, data entry, invoicing, and purchase order documentation.
Sending client documentation & notifications for completed jobs.
Attending to client queries and requests.
Approving project time and expenses.
Maintaining various registers, spreadsheets & documents appropriate for each project.
Ensuring all project documentation is correctly filed & easily accessible.
Maintaining training & competency records.
Assist with administering all personnel site requirements including inductions, travel, training, medicals & client documentation/systems.
Accurate and on time client invoicing and diligence with following up on aged receivables.
Purchasing materials for internal and external projects including raising purchase orders.
Weekly review of query reports to ensure accurate tracking of projects.
Any ad-hoc tasks assigned by the Administration Lead.
Desired Skills and Experience
About you:
Cert III, Cert IV, Diploma in Business Administration, or minimum 3 years experience as a project administrator.
Great interpersonal and communication skills both written and verbal.
Proactive and well-organised.
Great attention to detail & high level of accuracy while working in a fast-paced working environment.
Worked with an ERP System (SAP, Oracle, Epicor, Pronto, Workbench etc) desirable.
Proficient skills in Microsoft Office Applications (Outlook, Word, Excel), as well as a willingness to learn our in-house software system and work with this daily.
Ability to work autonomously and demonstrates initiative.
